Description

SEAM (South East Aviation Malta Ltd), an engineering services company supporting Ryanair’ s engineering function in South East Europe, is currently looking for an Office Administrator to be based in Malta. The selected candidate will be responsible for managing personnel logistics, coordinating travel and training, maintaining accurate records, and ensuring compliance with regulatory requirements.

Key Responsibilities:

  • Maintain and manage staff rosters, including attendance, sick leave, annual leave, and training schedules.
  • Maintain accurate and up-to-date records of time sheets and time-keeping.
  • Assist in onboarding new employees, including documentation and orientation.
  • Assist with the coordination of the Junior Aircraft Engineering Program and B1 modules Training
  • Plan and coordinate all travel arrangements for staff (flight bookings, hotel accommodations, transportation).
  • Coordinate training sessions and ensure all licenses, passports, and certifications are valid and up-to-date.
  • Apply for and manage airport passes for all relevant personnel.
  • Support the Maintenance Coordinator with documentation and record-keeping.
  • Coordinate and communicate with internal departments and external stakeholders.

Requirements

  • A Diploma in Office Administration, Business, or a similar discipline is preferred; equivalent experience may also be considered.
  • Previous experience in administration, logistics coordination, or similar role.
  • Strong organisational and multitasking abilities.
  • Excellent communication skills in English Language (written and verbal)
  • Proficiency in Microsoft Office and digital tools for record-keeping.
  • Ability to handle sensitive information with discretion.
  • Knowledge or experience within the aviation industry is considered an asset.
  • Rights to live and work in Europe
